Capture once
The document is read only once
You scan the document or the MiDNI QR code and the guest record fills in by itself. That same data feeds the registration: nobody has to type it again.
- DNI · NIE · passport
- QR MiDNI
- All occupants
Doing the guest registration by hand again at the end of your shift? You register the guest once and Hotelgest sends the registration to SES, Ertzaintza, Mossos or ROAT, prepares the INE and signs invoices with TicketBAI or Verifactu. Nothing to retype.
How it works
Three steps: you capture the guest's identity once, the submission goes to your authority on its own and everything is logged.
You scan the DNI, NIE or passport, or the MiDNI QR code, and the guest record fills itself in.
With the integration active, Hotelgest submits to SES, Ertzaintza, Mossos or ROAT on confirmation and at check-in.
The police report lists every submission with its status and ID; the INE and the signed invoices come from the same data.

Automatic submission
With the integration active, the reservation record is sent on confirmation and the guest registration at check-in. To SES, Ertzaintza, Mossos or ROAT, depending on your property.
Auditable
The Open Police chip changes color depending on the status. The police report lists each transaction with its ID, status and error, ready to filter, retry and export.
Tax
You sign invoices with TicketBAI in the Basque Country and Navarre, or with Verifactu elsewhere, from the reservation detail. You settle the tourist tax and prepare Modelo 347 by quarter.
Tax settings
Dates, adult price, child price and maximum nights are defined in Settings. Then the reports settle the tax using the same criteria.
What stops happening when the shift closes
You register the guest once. The police, the INE and the tax office all draw from that same data, with no to-do list at the end of the shift.
Guest registration
“Did you send the guest registration to the police?”
With the integration active, the record is sent on confirmation and the guest registration at check-in. The Open Police chip shows the status.
Audit
“Are you sure room 12's went through?”
The police report lists each submission with its ID and status, ready to filter, retry and export.
Statistics
“Who is preparing the INE this month?”
The panel generates the period's XML from your reservations, ready to upload to IRIA.
Fiscal
“Is this invoice valid for the tax office?”
The invoice is signed with TicketBAI or Verifactu when it is issued, from the reservation itself.
Tourist tax
“How much tourist tax do we settle this quarter?”
The tourist tax report totals overnight stays by season, with minors broken out.
Regulations, handled for you
You capture the guest once at check-in and that information feeds the police, the INE and the tax office. With the integration active, submissions to the authorities go out on their own.
Filing SES Hospedajes used to take us 20 minutes per reservation. Now it's automatic and we don't know how we ever lived without it.
